Meeting Minutes PebbleCreek Singles May 2011 Monthly Meeting Minutes

Annual and Regular Meeting Minutes--January 8, 2012

The Annual & Regular Meetings were combined into one.  President Dan Miczek opened the meeting at 3:08 pm and welcomed everyone to the first meeting of 2012.  Dan stressed that our focus will be on our members and ways to gather the membership in fun activities that allow us to laugh and enjoy each other’s company.  He also announced that this meeting will last longer than normal due to all of the items that will be presented.

President’s Report

·         After Meeting Dinner Reservations – There was a slight mix-up with Toscana’s.  The main restaurant is not open on Sunday evenings, but we can eat in the Long Drive Lounge and order from he bar menu.

·         Thank you to 2010-2011 Officers -- Dan thanked each officer and presented each individual officer with a thank-you gift.  He noted that even though there were some difficult personal times for some officers, the others stepped up and kept everything moving along.

·         Officers for 2012-2013 -- Dan introduced each of the officers for 2012-2013.

·         Singles Club celebrates its 15th Anniversary, our crystal anniversary.  There will be anniversary celebrations.   Dan showed a clip from the 10th anniversary celebration.

·         Encore presentations of past activities will be featured at each monthly meeting.  Dan showed pictures taken at the first activity of 2012, The London Bus Christmas Light Tour of January 3, 2012.  He thanked Rex Hedges & Emily Guajardo for heading up this activity.

·         Refreshing the look of the Club – New logo, new letterhead and a new nametag were introduced along with a new payment envelope which has been preprinted for ease of use by members.

·         Nametags will be made available free to all members upon payment of their 2012 dues.  If a member wishes to order a plastic nametag, the cost is $5.75 and can be ordered online.

·         Monthly Meeting room layout

o   Treasurer and New Member/Guest Tables will be outside of the meeting room entrance door.

o   Raffle Table will be inside the meeting room near the Activities Table and will be used for Raffle Tickets for a monthly 50/25/25 drawing.  Cost will be $1 each or 6 for $5.  Fifty percent (50%) of the winnings will go towards the charity which the Singles membership chooses to support.  Twenty-five percent (25%) will go to each of the two winners.

·         New Member Mentor Program – Current members are needed to volunteer to host new members during the monthly meeting and afterwards at the social hour.  This program would help make the new member feel more comfortable and less like an outsider.  A sign up sheet is on the Activity table during this meeting and will be on the New Member/Guest table in future meetings.

·         Financial Reports will be on the website – Annual, quarterly and monthly financial reports will be posted on the website.

·         VIVA Magazine – Officers of the PC Singles will be on the front cover of VIVA magazine in February.  A special thanks to Marilyn Tripodi for this opportunity.

·         Surveys – Dan stressed the importance of polling the membership regarding important issues.  Surveys are one way to accomplish this.  The intention is to publish the idea, suggestion or request at a monthly meeting and have the membership vote on it at the following monthly meeting.

·         Giving back to the Community – Though we are primarily a social organization, we feel that we can strengthen our public and private image by giving back to the community and sharing with those less fortunate.

o   A Charity Committee has been formed in order to review various local charities and select the two or three that would fit in with the PC Singles.  Current members of the Committee are            Diane Fekete, Jane Holdcroft and Tom Meighan.

o   We are awaiting responses from two additional members for the committee.

o   The membership should feel free to contact the committee with suggested charities.

o   During March there will be survey listing the charities selected by the committee

o   We anticipate taking a vote at the April meeting to determine which charity to support.

o   In the past Fighter Country Partnership, the fund raising arm of Luke Air Force Base, gave PC Singles two recognition awards for our efforts--a desk clock and a framed picture of a fighter jet.  At this meeting these were displayed on the Activity tables.

·         Volunteer Power – It is our intention to set up some type of appreciation program for those that assist in making the PC Singles a vibrant and active organization.  As we formulate this program we will advise the membership.

o   Rosemary DeAngelo – Dan presented Rosemary with a token of the PC Singles appreciation for her many years of service in sending, on behalf of the PC Singles Club, Birthday, Get Well and Sympathy cards.

·         Annual Dues -- Our bylaws dictate that Annual dues must be paid no later than the March regular meeting.  This year it is March 4.

·         New address for activity and dues payments – All payment should now be sent to:

o   PC Singles

o   C/o Millie Lessard

o   15832 W. Windsor Ave.

o   Goodyear, Az 85395

·         Weekly Announcements will continue to be sent on Wednesdays.

·         Keeping focused on Activities – Our intention is to have as many members as possible attend the monthly meetings.  A monthly meeting can become a social activity within itself, a great way to gather with your single friends on a monthly basis.  The focus of monthly meetings will be on activities.

o   Goal is to provide a variety in the type of activities but also a variety in the cost of the activities.

o   Monthly Calendar has been simplified.  There is one calendar for each month.  These calendars will also be available at the Eagles Nest Singles Slot.

o   Activity Sign-up Sheets --Between 2:30 and 3:00 pm prior to the start of the monthly meeting, and after the meeting, activity sign-up sheets will be available at the Activity table.

o   Activity Reminders – For people who have signed up for an activity, an email reminder will be sent 2-3 days prior to the cut-off/pay-by date of the activity and another email will be sent 2-3 days prior to the activity actually taking place.

o   Website Activity Announcements – New activities will be added to the Website on Monday/Tuesday after each monthly meeting.

Web Master’s Report

·         Chris Mucha announced that parts of the web site are currently under construction, as various parts of the web site are being changed / upgraded.

·         Chris reviewed several privacy principles:

o   Members’ privacy is most important to us.  Whatever is on the website can be accessed by anyone with computer access.

o   The web will just show members names, not their phone numbers or email addresses.

o   BOD officers have new email addresses which will be on the website.  Members can access officers via these email addresses.

o   Requests by outsiders for membership personal information will not be honored.  Chris stressed that we have not and will not do this.  We will contact members and tell them who has requested any personal information.

o   Please contact Kristy Littlefield in writing with any specific requests about what should not be shared with the membership on our Roster.

·         Chris also asked that members let us know of any upgrades you would like to see on the website and/or feedback on the current website.  He offered to help any member having trouble with the web site, or their personal computer

Activity Drawing

·         There will be a drawing at every monthly meeting to award a $10 credit towards an activity in the following month.  For example, win at the January meeting and apply the $10 credit towards a February activity.  The process is starting at this meeting.  The rules are simple:

o   Attend a meeting and receive a free raffle ticket.

o   A drawing will be held during the Activity Director’s presentation.

o   The award must be used to attend an activity--no cash exchange.  It cannot be used towards dues.

o   The winning ticket can be given away to any “single person” of your choice, even a non-member.

o   Use it or lose it.  That is, if the ticket is not used during the selected month, it cannot be carried forward to any other month.

o   There is no cost for the ticket.

o   At future meetings tickets can be picked up  at the Raffle table before the meeting.

o   Only one ticket per person.

o   In order to redeem the award, it must be included in the payment envelope.

o   The award can be applied to one or more activities.

·         Raffle tickets were distributed and a ticket drawn and awarded to the winner, Diane Staff.

Hole-in-One -- At the December Singles Golf outing on December 11, 2011 Marlene Zimniak scored a hole-in-one on the 15th hole of the Palm Valley Lakes Course.  Congratulations to Marlene.
